Welcome to ConvoTune. We are committed to protecting your privacy and handling your data with transparency and care. This Privacy Policy outlines how we collect, use, and protect your information when you use our services.

1. Information We Collect

Information You Provide to Us:

  • Account Information: When you register an account using Google Sign-In, we receive your email address and a unique Firebase user ID. We do not receive or store your Google password.
  • Uploaded Content: You may upload audio files ("Call Recordings") for analysis.

Information We Collect Automatically:

  • We do not use tracking cookies for advertising purposes. Standard application logs may be maintained for debugging and performance monitoring.

2. How We Use Your Information

  • To Provide Our Service: We use your uploaded Call Recordings solely to perform the AI analysis and generate a report. Your user information is used to manage your account and track your usage limits.
  • To Communicate With You: We use your email address to send you the analysis report and important service-related notifications.

3. Data Handling and Security

This is our most important commitment to you.

  • Ephemeral Processing: Your audio files are processed in-memory and are **never permanently stored on our servers**. They are deleted immediately after the analysis pipeline is complete.
  • No Human Access: The entire analysis process is automated. No human employee at ConvoTune will ever listen to or access your Call Recordings.
  • Anonymized Learning: We do not use your call data to train our core AI models. Any future model improvements will be based on aggregated, fully anonymized, and non-attributable metrics, not the content of your conversations.

4. Data Sharing

We do not sell, rent, or share your personal information or call content with third parties for their marketing purposes. We only share data with our essential service providers who process data on our behalf:

  • Gladia & OpenAI: Your audio file is sent to these providers for transcription and analysis. Their privacy policies govern their handling of the data during processing.
  • SendGrid: Your email address and the generated report are sent to SendGrid to deliver the analysis email to you.

5. Your Rights and Choices

You can request the deletion of your account and all associated personal data (email, Firebase ID, usage count) by contacting us at privacy@convotune.com.

6. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new policy on this page and updating the "Last Updated" date.
